Uploading and finding assets
Upload images, video, audio, PDFs, and documents to a shared library, then find them again with search, categories, and tags.
What the asset library is for
Assets is a shared media library for your project. Upload a file once, then reuse it across help articles, release notes, blog posts, and onboarding — instead of re-uploading the same screenshot into three different places.
Find it under Content → Assets in the sidebar. The page has two tabs: Library for the files themselves, and Settings for categories and storage.
Supported file types
The library accepts images, video, audio, PDFs, and documents. Assets are recognised by type and previewed accordingly:
- Images — PNG, JPG, GIF, WebP, SVG
- Video — MP4, WebM, MOV, AVI, MKV, played inline
- Audio — MP3, WAV, OGG, M4A, with a player
- PDF and documents — DOC, DOCX, TXT, MD, and other text formats
Uploading a file
- Click Upload asset in the top right.
- Drop a file into the picker, or browse for one.
- Fill in the details:
- Title — how the asset is labelled in the library, for example Onboarding intro v1.
- Description — what the asset is for and where you plan to use it.
- Category — which group it belongs to.
- Tags — type a tag and press Enter. Tags become filter chips in the library.
- Share across organization — when on, every project in your organization can use this asset. When off, it stays private to the current project.
- Confirm the upload. The asset appears in the library as soon as it finishes.
Finding an asset again
The Library tab gives you four ways to narrow things down, and they combine:
- Categories — the sidebar lists every category with a count, plus All assets.
- Tags — click one or more tag chips in the sidebar. Use Clear to reset them.
- Search — matches title, description, and tags.
- View mode — switch between grid and list. Grid is better for images, list for documents.
Whatever filters are active are shown as removable chips under the search box, so you always know why you're looking at a shortened list.
Using an asset
Every asset has a public URL. Use the Copy public URL action on the asset — in grid, list, or the asset detail view — and paste it wherever you need the file: an image in a help article, a video in a release note, a thumbnail on a blog post.
Editing and deleting
Each asset row and card carries Edit and Delete actions. Editing lets you change the title, description, category, tags, and organization sharing without re-uploading the file.
Deleting removes the file permanently. Anything already pointing at its public URL — an embedded image in a published article, for example — will break, so check where an asset is used before removing it.
Permissions
The Assets page requires the assets:view or assets:* scope.
